Office Manager
Sonic Acts is looking for an Office Manager for 0.5 FTE (19 hours) per week. The deadline for applications is November 13, 2024, and the position will start in early January 2025.
Sonic Acts is a leading platform for new developments in electronic and digital art and sound art. Along with a year-round programme, the organisation is notable for its Biennial, which takes place at a variety of locations in Amsterdam. Sonic Acts supports research, development and presentation of cutting-edge music, visual art, science, and technology in concerts, lectures, club music, film screenings, workshops, exhibitions, and more. Based in Amsterdam, Sonic Acts works with national and international artists, partners, and kindred cultural and academic institutions.
As Office Manager, you play a key role in ensuring the daily operational processes within our organisation. You are part of a small, dedicated team within an innovative and ambitious mindset. In the lead-up to our biennial festival, our team grows with freelance producers, communication managers, technicians, and curators. You will be the central point of contact for both colleagues and external relations, functioning as a stable factor within the organisation. Together with the management team, you work to ensure the team performs optimally, even during the busy periods before and during our events.
Supporting administrative processes, ensuring an inspiring and organised work environment in our office at Paradiso, and handling the logistical organisation of staff outings and work trips.
Coordinating the recruitment and selection of new employees and freelancers, from posting vacancies to scheduling interviews, in collaboration with the management team.
Drafting contracts for staff and freelancers, and supervising personnel administration.
Organising evaluation and performance reviews as the first point of contact for colleagues. You also handle onboarding and offboarding processes within the organisation.
Maintaining and updating policy documents such as protocols, house rules, and reimbursement rules, ensuring that all staff are informed.
Assisting with visa applications for artists and support with securing insurance.
At least 2 years of work experience in a similar position, preferably in the cultural sector.
Strong organisational skills, working in a structured manner with attention to both people and processes.
Proficient with online tools such as Slack, Dropbox, Google Drive, and Microsoft Office.
Strong social skills and pleasure in collaborating with ambitious and driven colleagues in an international team.
Good communication and writing skills in Dutch and English.
Knowledge of the Fair Practice Code, Governance Code Culture, and the Diversity & Inclusion Code is a plus.
An affinity with contemporary art, audiovisual culture, avant-garde film, and/or electronic music.
Based in the area of Amsterdam or willing to travel.

A salary between €2.534 and €2.916 gross per month based on full-time employment, depending on knowledge and experience – based on the guidelines of De Zaak Nu. Freelancing can also be discussed.
